Private event bookings for a wildlife education nonprofit

Jenna’s nonprofit’s mission is to educate the public on raptors and advocate for their conservation through live educational presentations.Since Jenna doesn’t have her own facilities yet, she needs to book private offsite events. She needs to book more events so she can make more income and leave her day job.Interested customers are reaching out, but each new booking means sinking hours of work into event coordination.

She doesn’t have enough hours in the day to grow at this rate.

Is this a fit?

What kinds of organizations do you work with?

Small and mid-size businesses and nonprofits, solopreneurs, and startups. I'm the best fit for organizations that don’t want another short-term solution, but want to fix problems for good. I specialize in organizations that aren't served by typical enterprise-level software, and those with niche or complex processes, especially involving the public.

I'm not organized or tech-savvy. Will I be able to use the system you make for me?

Yes - you’re exactly who I design for.

During our deep dive, I learn about you and how you already work. This helps me know how to make the system as easy as possible for you to use. I teach you how to use the system, make sure you’re comfortable using it, then give you some time to use it in real life. We follow up to make refinements and make sure everything is working smoothly according to our original scope.

If needed, I can also provide written or video instructions, or training for your staff for an additional fee. I’m here for troubleshooting if something breaks. If you find you need a change to the original system, I can continue to modify it to evolve with your business, scoped and priced as an additional project.

The process I need organized involves my staff. I don’t know all the details about how they work. Can we still work together?

Yes. I come from a background of unifying multi-departmental processes, and I’m experienced with interviewing many people to investigate and get the full picture of a process across departments.

For processes that span multiple staff members or teams, I ask to speak with them directly so I can find out exactly what they need from the system too. I’m interested in creating well-designed systems that multiply the capacity of your organization, and that includes making things easy and efficient for everyone involved.

My entire approach hinges on getting the most accurate picture of the reality of a process before I start any work on a system. This means involving everyone who touches a process in the design from the beginning. This also gives the added benefit of easy buy-in and adoption of the new system from your staff, because they helped design it.

What if my process involves members of the public, who might not act like we predict?

When working with the public, each interaction brings someone with a different context, different expectations, and different knowledge about how you do things at your organization – and a lot of time is spent explaining and re-explaining.

When I create any system, we work together to identify every piece of information that needs to be communicated in order for the process to successfully complete. By finding out what information you need, we also find out what information your customers need. We can then create a system that walks your customers through the process without you being involved in every step.

Customers appreciate having clear communication of what you offer, what they should expect, and what you need from them. Having a system in place is an opportunity to make a process that’s as easy for your customers to follow as it is for you to use. A system isn’t just the software or tools you use, but also the design of the entire client interaction from start to finish.

How is this different?

How could you possibly make a system that works in every scenario?

By finding out what the reality of the process is before I start working, I can build a system around an accurate picture. This is different from how most people approach building systems, which is to assume how things might work and build a system around that.

When I work with you, we start by digging deep into your process. We find out everything you need from your process, even the things you might not have considered yet. We find out what information needs to be communicated and when in order for the process to be completed successfully. As we do this, we naturally uncover a map of your process from start to finish.

Imagine a flowchart: when we map out what we expect to happen, we also find out what it looks like when those things don’t happen, allowing us to plan ahead for those scenarios as well. This is what allows us to make a system that plans ahead for both the predictable cases and the outliers.

A lot of time is freed up just from having a process that accounts for the majority of predictable cases. Then when you do come across an outlier that needs more time, you’ll have more bandwidth to address it.

Why not just hire an assistant?

When things get busy, most people wish they had more hours in the day to keep up with the demand. The first instinct is to hire assistants. However, most busy people are too busy to train their assistants on what to do in every scenario. When that’s the case, adding more people just means creating more opportunity for miscommunication and mistakes, where simple errors could cause hours of damage control.

Instead of hiring more people to work more hours to keep up with all the work, my approach is to create a system that makes the same work take less time to do.

And if you do hire, having a system ensures that new hires can be easily onboarded and trained. A well-designed system continues to multiply the capacity of the entire organization by taking time-wasting tasks off everyone’s plate.

Why not just buy pre-existing software?

Lots of software is effective for what it’s designed for, but what it’s designed for might not fit exactly what you need. Even if you do find something that works for part of your process, not a single tool can manage the space between each tool and the next. These constraints force you to change to fit what the software asks of you, when your software is supposed to be the one serving you.

A system that’s fully customized to you has everything you need and nothing you don’t, and accounts for every step of your process, including the handoffs between one tool and the next, or between tools and stakeholders. This approach ensures that tools actually take work off your plate instead of adding more complexity to manage.

Part of what I offer is advising you on what you need and carrying that out for you, so you don’t have to sink time and money into researching and testing out different software yourself. I also work within the constraints of your budget and preferences when choosing which tools to recommend.

At its core, what I do is process design. I prefer to use tools to make this as efficient as possible, but I could build you a fully analog process if that’s what you’d prefer. The service I’m offering isn’t just to get you set up with software, but to bring my process design knowledge to make your entire process more easy, effective, and efficient.

Why not just use an AI tool?

Most AI tools marketed to solve the problems I work on tend to treat disorganization as a given. This is the opposite of my approach, which is to root out the original sources of chaos to rebuild a clean and reliable structure.

When you run AI over unstructured or incomplete information, it can make mistakes. Why not just use good process design to create a system that keeps information organized as you go, shows you what you need when you need it, and handles repetitive steps with automations that follow clear rules?

Most problems just need to be addressed through intentional process design before adding tools on top. So far, I haven’t come across a need to incorporate AI tools into any of my systems. But if you do want to incorporate AI, working with me to create structure and order makes using AI tools more reliable.

Are you selling a template or premade software?

No - I'm not trying to get you to adopt a premade template or software.

What I do is work with you to learn about your business, advise you on how to make your processes more efficient, and build a system to support that. We agree upon what the system should look like before I start building, including what tools to use. The system might include premade or custom software, but they’re suited to your preferences, and tailored to fit you.

Cost, support & ownership

Do I need to buy new software? What does it cost?

Maybe, it depends on what you already use and what you need. Most builds use Airtable which is relatively inexpensive. I let you know what tools I recommend for your build and their cost during the scoping phase. I work within the constraints and preferences you have, and if budget is tight, I take that into account.

The core of my work is process design, and a well-designed process alone makes a world of difference. That’s why I can build fully functional systems using such low-cost tools. The system in this case study costs my solo founder client just $12/month for an Airtable subscription.

Do I need to pay to keep using the system you make for me?

You might need to pay subscription fees to any tools used - I let you know what tools I recommend for your build and their cost during the scoping phase, so nothing will be a surprise to you. But you will not need to pay any ongoing costs or subscription fees to me in order to keep using your system. Everything is built in accounts you own, so you have full access to your own system.

What if my business changes or I outgrow the system you made for me?

I can update your system to grow and evolve with your business. Just reach out and we can scope it as a new project.

As with any project, I start by investigating exactly what it is you need from your system. My objective is to leave you with a system that fits your business like a glove and is comfortable to use. I’m not interested in leaving you hanging with a system that only half-works. When your business changes, your system should reflect that so it can continue to support you.

What if something breaks and I need troubleshooting support?

Every build includes a support period after handoff, where I'm here to troubleshoot and make sure everything works as intended according to the scope we agreed upon. The details are outlined in our contract, which we go over before any work begins.

Who owns the system you make for me?

You can use and modify the system I build for you permanently. You will not need to pay any ongoing costs or subscription fees to me in order to keep using your system. All of your data is yours, and I never share your sensitive business information with anyone else.

I keep ownership of the design as my intellectual property, along with any industry knowledge I might develop from working with you. I may use any work I do for you, in whole or in part, for other client work or other products I might sell in the future (without sharing your data or private information, of course).

Your system is built for your use only, so you may not copy or duplicate it for anyone else. (Though you’re welcome to show it off and tell people about it!)

My Story

I studied international development at Michigan State University, where I kept noticing the same pattern: band-aid solutions get chosen over lasting ones, not because they work better, but because they're easier to explain when everyone is deep in the daily weeds. As a result, complex problems remained unsolved even when lots of resources were put towards them.Later, I saw the same thing inside organizations. At a large public library system, I coordinated events and operations for a system running 30 to 60 events a week, and built Airtable systems and processes across departments, like a standardized festival planning process that closed communication gaps between six departments. I found that every recurring problem came down to one thing: information getting lost somewhere along the way. I learned that no matter how chaotic things looked on the surface, those gaps could be found and fixed for good.These experiences inform the approach I bring to my work today. I start by seeking a thorough understanding of how your business works, so I'm not working from assumptions.
